Monitor Safe Driving: A 24-hour hotline is staffed by highly trained employees who process incoming calls about driving safety. Managers receive timely e-mail notification of reported unsafe driving along with a bulletin specific to the event to facilitate driver coaching. Key #4: Strive to maintain 100% accurate listings of drivers and vehicles. Driver list data should contain at minimum; driver name, ID or license #, drivers license expiration date, date of birth, date of hire, DOT physical due date, driving record (MVR) and annual review date. Maintain a basic spreadsheet and learn the "sort" function on your software to keep most critical pending license, DOT physical and annual review dates at the top. It's a good idea to keep this posted in an area where drivers and company personnel keep an eye on it to help manage renewals.
Vehicle list data shall have at minimum an identification of the vehicle including company number, if so marked, make, serial number, year, and tire size. In addition, if the motor vehicle is not owned by the motor carrier, the record shall identify the name of the person furnishing the vehicle
Although motor carriers do not have to display their USDOT markings on vehicles leased or rented for <30 days, regardless of the duraation, the rental agreement must have the carriers USDOT# written on it. This should be included as part of the company's standard pre-trip process and driver training.
Regularly check SafetSat driver and vehicle out of service listings for accuracy. Ensure each OOS report has been completed and returned to state DOT office for which it was issued. Maintain this record on a minimum rolling 3-year plus current year time frame applied equally to all drivers.
